Meeting Date: 15th July Location: Fiona’s House Key Participants: Fiona (Chair), Tess (Litter Pick Lead), Colette (Resident/Committee), Grace (Council), and other local residents.

1. Community Event Debrief (June Event)

The recent community event was deemed a significant success, with an estimated 200 attendees.

  • Engagement Metrics: The group used ice cream tokens (150+ distributed) to capture resident postcodes, allowing for geographical analysis of participation.
  • Operational Successes: The vegan food options were well-received, and the music level was appropriate for conversation while maintaining atmosphere. Local wildlife engagement, such as the Hedgehog/iNaturalist stall, was also popular.
  • Lessons for Future Events:
    • Volunteer Shortage: There was a clear need for more volunteers to man stalls, as committee members were often “overwhelmed” by administrative tasks.
    • Logistics: Suggestions were made to centralise the DJ for better sound distribution and to improve the briefing for road closures to prevent resident backlogs.

2. Financial & Administrative Updates

The group reviewed the budget and pending payments to finalise the recent event’s accounts.

  • Payments: Outstanding invoices include Unity Arts, additional printing, and catering/refreshments.
  • Budgeting: Initial planning for the 2025 funding bid has commenced. Future costs were estimated for the newsletter (£260), AGM food (£350), and bulb planting (£320).
  • Banking: The group is in the process of transitioning to a new bank account over the summer period.

3. Autumn & Winter Strategic Calendar

The committee established a timeline for the remainder of the year to ensure adequate publicity and preparation.

  • Litter Pick: Scheduled for Sunday, 19th July (commencing 10:00 am) to mark the start of the summer holidays.
  • Autumn Newsletter: A double-sized newsletter will be prepared. Content must be ready by 10th October for printing on the 12th October. This will include a QR code for a community survey.
  • AGM & Nature Event: Set for Saturday, 7th November (1:00 pm – 5:00 pm).
    • 1:00 pm: Community Lunch.
    • 2:00 pm: AGM and iNaturalist/Nature presentation.
    • 3:00 pm: Advent crafting workshop.

4. Community Engagement & Digital Management

  • WhatsApp Group: The group has seen an increase in members. While generally productive, the committee emphasized the importance of maintaining a friendly environment and will monitor for inappropriate language or repetitive negative posts.
  • Advent Window Displays: A call for themes will be issued via the newsletter and a poll on WhatsApp. Past themes include “Birds” and “The Three Wise Men of Barlow”.
  • Local Outreach: There is a desire to improve engagement with residents in newer developments and surrounding areas like Hardy Lane.
